The details
02What happens to a vendor invoice once this is live?
It is picked up where it arrives, a mailbox or a scan, and read with OCR down to the line items rather than just the total. Those lines are matched against the purchase order and the goods receipt note, so three questions are answered before a person looks at it: did we order this, did we receive it, and is this the price we agreed?
Invoices that match move on to approval, where the approval matrix sends each one to the right person based on its value and cost centre. Approved invoices are collected into a payment file for your bank or for Tally, so the payment run starts from a list that has already been checked.
What happens when an invoice does not match?
A quantity that differs from the GRN, a rate that differs from the PO, or an invoice that looks like one already received is flagged instead of drifting into approval. Duplicate and fraud checks run on every invoice before it reaches an approver. How much difference a match allows, and who clears each kind of exception, are business rules we write down with you on the scope call.
Some purchases have no PO at all: rent, utilities, professional fees. Three-way matching has nothing to match those against, but they still need a path to approval, and deciding what that path looks like is part of scoping, not something to discover after go-live.
Where does the package stop?
The package prepares the payment file; it does not move money. Releasing a payment from your bank stays with the people authorised to do it. It also does not replace your purchasing process: purchase orders and GRNs come from the system you already use, and connecting to it is scoped on the call. Vendor onboarding, vendor portals and employee expense claims are not in the feature list.
How is this different from Document & Data-Entry Automation?
Document & Data-Entry Automation (₹16,000) reads PDFs and scans and posts the extracted fields into your ERP, CRM or Tally, with human review for low-confidence items. Accounts Payable Automation is narrower and goes further for one document: it matches vendor invoices to POs and GRNs, routes them through approvals and ends in a payment file. If your problem is retyping, the first fits; if it is control over what gets paid, this one does.
On the tax side, GST & E-Invoice Automation (₹30,000) reconciles purchases with GSTR-2B. It looks at the same purchase invoices from a different angle: this package asks whether you should pay an invoice, that one asks whether the supplier has reported it for your input tax credit.

FAQ
04What does accounts payable automation cost?
Accounts Payable Automation starts at ₹45,000 and is delivered within 30 days. The listed stack is Python with LLM APIs; the systems your POs, GRNs and payments live in are named on the scope call and written into the proposal. Your fixed price arrives in writing after a 15-minute scope call.
Does it pay our vendors?
No. It produces a payment file for your bank or for Tally from invoices that have been matched and approved. The payment itself is released by the people in your business who hold that authority, as it is today. Which bank format the file uses is settled on the scope call.
How does the approval matrix work?
Each invoice is routed by its value and cost centre: a small bill for one department can go to that department’s manager, while a larger one can need a second approver as well. The thresholds and the names are yours; we write them into the matrix during the build, from rules agreed on the scope call.
How does it catch duplicate invoices?
Every invoice is checked against those already received before it goes to approval, so the same bill sent by email and then again as a scan is flagged rather than paid twice. The fraud checks, and the rules behind them, are agreed on the scope call; anything flagged is held back from approval until someone clears it.
We already use Tally. Where does it fit?
Tally can be where the payment file goes: the export can be for your bank or for Tally. Whether approved invoices should also be posted into Tally as purchase vouchers is a separate question settled on the call; posting vouchers from other systems is the core of Tally Integration & Automation, from ₹12,000.
