The first useful reply wins.
A buyer on IndiaMART rarely writes to one supplier. The same requirement goes to several, and the buyer talks to whoever answers first with a clear next step. An enquiry read three hours later is often already lost, however good the product.
Most leads are lost in the gap, not the pitch.
Enquiries arrive in the Lead Manager, in email and on the phone, and someone has to notice each one, copy it somewhere and call back. Every hand-off in that chain is a place where a lead waits. The fix is to remove the waiting, not to write a better sales script.
Reply in a minute, then let a person follow up.
An instant WhatsApp reply that confirms the requirement and asks one qualifying question keeps the buyer warm while your team gets to the phone. It should read like a person wrote it and promise only what you can deliver.
Every lead needs an owner and a next date.
A lead with no owner is nobody’s job. Assign each enquiry to a named person, with a follow-up date, and review the open list daily. That routine does more for conversion than any extra lead source.
Where enquiries go missing
Look for these in your own week:
- Leads read in the IndiaMART app on one person’s phone and never recorded anywhere else
- The same buyer contacted twice by two salespeople, or not at all
- Enquiries that arrive after office hours and wait until the next morning
- Follow-ups that depend on someone remembering, with no date written down
- No record of which enquiries became orders, so nobody knows which products or cities are worth the subscription
A simple lead routine that works
Bring every enquiry into one list, whether that is a CRM or a shared Google Sheet, with the buyer’s name, phone, product and city. Remove duplicates by phone number. Send a first reply straight away, then have a person call or message within working hours. Follow up on day one, day three and day seven, and close the lead with a reason when it is won or lost.
Once the routine runs, the list starts answering questions the subscription never could: which products bring buyers who order, which cities convert, and how many enquiries each salesperson can handle.
What to say in the first message
Thank the buyer by name, repeat the product they asked about, and ask one question that moves the deal forward, such as the quantity needed or the delivery city. Add your business name and a direct number. Keep prices out of the first message unless they are fixed and published; a price sent before you understand the requirement invites a comparison you may lose.
Automating it
IndiaMART offers a Lead Manager Push API that sends each new enquiry to your system as it arrives. Our IndiaMART Lead Autopilot starts at ₹10,000: it connects that API, removes duplicates, sends an instant WhatsApp reply, logs each lead to your CRM or Google Sheet, assigns it and schedules the follow-ups. JustDial and TradeIndia can be added for ₹4,999. If you do not have a CRM yet, Sales CRM Starter is the usual next step.
